11 Rules to Keep Your Messages From Getting Ghosted

Are your text messages causing more confusion than closings?

Ever wondered if you accidentally offended a prospect—or worse, got ghosted—because of a poorly timed or awkwardly worded message?

Texting is a powerful communication tool, but when misused, it can do more harm than good. That’s why we’ve curated the ultimate guide to texting etiquette for real estate professionals. From dodging grammatical gaffes to perfecting your timing, these 10 essential rules (plus one bonus!) will help you become a master of mobile messaging.


Rule #1: Keep it Professional, Not Personal

Save the emojis and slang for your personal chats. In business, we use proper language and leave the LOLs for after-hours. Use real words to do real business.

If this is what your text sounds like, you’re breaking Rule #1:

“OMG, I was ROFL when my BFF told me, TBH, about her date last night. It was TMI, but LOL, I couldn’t stop laughing! You gotta love things IRL!”

Don’t be that agent. Keep it clean, clear, and professional.

Rule #2: Grammar Police on Duty

Avoid committing grammatical crimes. Remember, autocorrect is not your friend—but proofreading is! Always check your message before you hit send.

“Let’s eat Grandpa” is very different from “Let’s eat, Grandpa!”

There, their, and they’re are not interchangeable. Use punctuation wisely—your professionalism depends on it.


Rule #3: Identify Yourself

Don’t assume they know who you are. Start your texts with your first and last name, especially with new prospects or contacts.

Unless you’re texting a psychic, they won’t know it’s you without help. And don’t be mistaken for Bob the Dog WalkerLarry the Lazy Lender, or someone else with a similar number.

Rule #4: Timing Is Everything

Just because you wake up at 2 a.m. with real estate night sweats doesn’t mean your client, the listing agent, or the appraiser wants a message at that hour.

Respect business hours—and be mindful of time zones.

9 a.m. in New York is not 9 a.m. in Hawaii.

Use a time zone converter app if needed. Don’t guess.


Rule #5: Get Straight to the Point

Don’t beat around the bush. Keep your texts clear, concise, and direct. This isn’t a mystery novel.

Overlong messages get:

  • Ignored
  • Deleted
  • Put on the back burner

Don’t make it a heavy lift for your reader. Less is more.


Rule #6: Privacy, Please

Never discuss confidential or sensitive details via text. Negotiations, legal points, and client data should not be shared through SMS.

Texting is not the place for back-and-forth offers.
Different states have laws about what constitutes a binding agreement via digital message.

Rule #7: Furiously Fast Follow-Up

In the world of real estate, speed matters. Don’t leave people hanging.

Quick replies:

  • Build trust
  • Show professionalism
  • Could mean the difference between a closed deal and a lost opportunity

Fast fingers = strong follow-up.


Rule #8: Subject Lines Are the Spice of Texts

Add context to your messages. Think of your subject line as the appetizer to your message—tantalizing, relevant, and helpful.

Example:

“Subject: Quick update on your home inspection—please read.”

It helps the recipient know exactly why you’re texting and what action is needed.


Rule #9: Receipt Required

Let people know you received their message. A simple “Got it, thank you!” goes a long way.

Nobody likes feeling like their message fell into the abyss. Don’t ghost your clients, vendors, or colleagues.


Rule #10: Call for Backup

If the topic is too complex or sensitive for text, pick up the phone or meet face-to-face.

Sometimes, good old-fashioned conversation is still the best way to:

  • Resolve misunderstandings
  • Clarify next steps
  • Prevent things from getting lost in translation
